Important: This policy is a practical description of the site’s intended data flow and is not legal advice. The site owner should obtain appropriate South African legal review before launch and whenever the service changes.
1. Scope and responsible party
This policy applies to airconinstaller.co.za (“Aircon Installer”, “we”, “us”) and the personal information submitted through this website. Aircon Installer is a new independent information and referral service. It is not the aircon contractor and is not yet handling established lead volume.
For the lead information collected on this site, the site owner acts as the responsible party for the initial collection and routing. A referred installer will be responsible for how it uses information after receiving a request.
2. Information we collect
The quote form asks for:
- your name, phone number and email address;
- your selected suburb or town;
- the property type (house, townhouse or small business);
- whether you need a new installation or replacement unit; and
- any optional details you add in the free-text field.
Basic technical information may also be processed automatically by hosting and security providers, such as an IP address, browser type, request time and error logs.
3. Why we use it
We use the submitted information to receive the quote request, identify the correct service corridor from the town you selected, pass the request to the installer serving that corridor, respond to delivery problems, prevent abuse and understand whether the referral service is working.
The town value is intentionally passed through unchanged because it is the information used downstream to distinguish Western Cape requests from Gauteng requests.
4. The real data flow and sharing
The form sends your data to the website’s /api/lead endpoint. That Cloudflare Pages Function forwards the same lead payload to an environment-configured lead-routing webhook. The site owner will configure the real webhook after deployment; no webhook address is hardcoded into the public site.
The routing process makes the request available to the installer serving the corridor linked to your selected town. We do not operate a public contractor directory or sell the same request to a marketplace of listed providers. Information may also be processed by the hosting, webhook and communications service providers needed to run this flow.
We may disclose information where required by law, to protect legal rights or to investigate abuse. We do not publish lead-form information.
5. Retention and security
Lead information should be kept only as long as reasonably necessary to manage the referral, deal with follow-up or disputes, meet legal duties and understand service performance. The final retention period will depend on the configured lead-routing system and the installer’s own lawful retention requirements.
Reasonable technical and organisational safeguards should be used, including encrypted transit, access controls and environment variables for private service credentials. No internet transmission or storage method can be guaranteed completely secure.
6. Analytics and cookies
The site supports Google Analytics 4 only when the owner configures a valid PUBLIC_GA4_ID environment value. If configured, analytics may use cookies or similar identifiers to measure page use and successful form submissions. The site does not hardcode an analytics ID and no GA4 script is loaded when that value is absent.
7. Your rights under POPIA
Subject to applicable law, you may:
- ask whether we hold personal information about you;
- request access to that information;
- ask for inaccurate or incomplete information to be corrected;
- request deletion or restriction where the law permits;
- object to certain processing;
- withdraw consent where processing depends on consent; and
- complain to South Africa’s Information Regulator.
We may need to verify your identity before acting on a request. Some information may need to be retained where the law requires or permits it.
8. Privacy requests and updates
For a privacy request, call 060 086 9889 and state that the call concerns personal information submitted through airconinstaller.co.za. The site owner should publish any additional Information Officer contact channel before accepting live submissions.
This policy may be updated when the routing provider, installer relationships, analytics configuration or legal requirements change. The current version published on this page will apply from its displayed update date.
